The challenge

Employee onboarding involves time-sensitive identity updates, HR data validation, account actions, and notifications to managers and IT. Manual coordination can create repetitive work and make exceptions difficult to track.

Identity lifecycle

Coordinate user-account actions against validated HR records.

Operational visibility

Report completed, skipped, and failed actions clearly.

Communication

Notify relevant stakeholders without unnecessary messages.

Solution architecture

A scheduled Azure workflow orchestrates identity operations and routes structured results to reporting and notifications.

Implementation highlights

  • HR filtering: Identify eligible employee records within a defined onboarding window and apply business rules.
  • Identity operations: Use Microsoft Graph and Azure Automation for account-related actions, with explicit success and failure handling.
  • Duplicate prevention: Track processed users in Azure Table Storage so successful operations are not repeated unnecessarily.
  • Manager grouping: Organize notifications by manager and generate readable HTML summaries.
  • Conditional alerts: Suppress unnecessary Slack notifications when there are no relevant results.
  • Structured reporting: Return JSON containing processed users, skipped records, counts, and operational details for Logic Apps.

Engineering approach

The workflow separates identity operations from communication. The runbook handles business rules and Microsoft Graph interactions, while Logic Apps transforms the output into stakeholder-specific notifications and reports.

Key design priorities include least-privilege permissions, safe handling of credentials, actionable errors, and repeatable execution.
